LESSON 4 : FIND, REPLACE, SPELL CHECK, THESAURUS, GRAMMAR.
1.
Open word and type the following text exactly as it is
written :
Compuers are a necesity for our everyday lives. No longer is it
feasable to conduct business withh handwriten notes, scraled memos and
calculators. Even the faw mashine may become obsolete as compuers take over.
E-mail is now the quickest and most efficient method of communication it is
innstantaneous and even pictures and souds can be sent thes way.

Save this in your computer class folder.
3.
Finding words. If you wish too
find a specific word in your text, Word can do this for you.

Go to edit
·
Go to FIND. A dialogue bow will appear. Type the word ‘calculator’ in
the box that asks ‘find what’.

Click on ‘find next’. The word calculator should be highlighted.
·
Click on ‘find next’ to find any other matching words. As there are
none, you will see a DIALOGUE BOX. Click on OK.
4.
Replacing text : if you wish to
replace all the words that are the same in a text, you can use this technique.
It is especially useful if you have misspelled a name consistently.
·
Click on edit
·
Click on REPLACE…… you should now have a dialogue box.
·
Type ‘compuers’ in the space that says ‘FIND WHAT’.
·
Type ‘computers’ in the space that says ‘REPLACE WITH’.
·
Ensure that ‘SEARCH ALL’ is in
the next box.
·
Start the search by clicking on ‘FIND NEXT’. The first match should be
highlighted.
·
Click on replace.
·
Replace : replaces the word and searches for the next.
·
Replace all : replaces the word and all other matching words.
·
Find next : ignores that word and searches for the next
matching word.
·
Click on ‘replace’ until the document is complete.
·
Practise again by changing ‘computers’ to ‘compuers’.
5.
It is possible to change the language on the computer so that you can
use the other tools Word provides such as Spell check, grammar and thesaurus.
To do this you should go to ‘TOOLS’ and then to ‘language’. In language you
should find English (UK) and double click on it. If the software is installed
in your computer, you should then be able to continue in UK English. Apply this
to the whole document by highlighting it and then following the steps illustrated
above. OR change the language before you start typing.
6.
Spell check one word: when word
considers a word to be misspelled it underlines it in red.

Move the mouse over any misspelled word.
·
Click once with the right mouse button.
·
A menu should appear with a selection of words.
·
Click once on the correct word and the red line should disappear.
7.
Spell check the entire document: once the document
is complete you can spell check the whole thing in one go.

Pick the spell check button
from the toolbar , or go
to TOOLS and then spelling.
·
The dialogue box should appear. The ‘not in the dictionary’ box shows
the wrong spelling. The ‘change to’ box shows the most likely option. The
‘suggestions’ box shows the other alternatives.

Move the mouse over the required word and then click.
·
Move the mouse over the change button and click once. Spell check then
continues with the next misspelled word.
·
If the dictionary does not recognise a word and it is correctly spelled
(e.g. a proper name), you can ignore it by clicking on the ‘IGNORE’ button.
·
Spell check your document and when it has finished, click on the OK
button.
·
NOTE: spell check will not recognise a correctly spelled word in the wrong
context, e.g. the girl is sit years old.
8.
Auto correct: Auto correct is a
feature that automatically corrects the most common mistakes in spelling and in
typing. It corrects them as you type. Find out some of the things that it can
correct by going to tools and then AUTOCORRECT. Write down 5 things:

Thesaurus: this feature can
help you to find other word to put in your document. It is more practical than
a paper thesaurus.

Click on the word ‘method’

Go to tools and then language and then Thesaurus.
·
The dialogue box should appear.
·
Click on the correct meaning in the ‘meanings’ box
·
Select the word you want by clicking on it in the ‘replace with
synonym’ box.
·
Click on ‘replace. The word you selected will be replaced. Practise
with other words in the text.
10.
Grammar: Word can also check your grammar so that it reads
more fluently. Go tools and then Grammar and make any changes to the text that
you feel are suitable.
